If you would like to send your customers branded invoices that show your logo as well as details of how to and when to pay, you need to create an invoice branding theme. In this tutorial, we will create a new branding theme in Xero’s demo company and take a look at how it appears on a sales invoice.
Invoice Branding Themes in Xero
To get to the right place in Xero, go to Settings in the main menu and click on Invoice Settings in the Features section:
How to Create a New Invoice Branding Theme in Xero
In the demo company, you should see several invoice branding themes already set up. To create a new theme, click on the + New Branding Theme button and choose Standard from the drop-down menu:
A large pop-up box will appear with lots of settings to complete. A lot of the settings are automatically populated by Xero and you may find that they are fine to use as they are. For this tutorial, we will just make a few changes to the template settings:
- Name: let’s call the template New Invoice Theme.
- Payment Services (PayPal): choose DONOTPAYTHISISFAKE@fakedemoaccount.com from the list.
- Terms & Payment Advice (Invoice and Statement): type in Please pay by direct deposit or by PayPal within 30 days of the invoice date.
Click on Save when you are happy with your settings. Your new invoice theme should now appear in the list of themes.
Next, let’s upload a picture for a logo. To do this, click on the Upload Logo link:
A pop-up box will appear giving you some guidance on the size and types of image files Xero allows you to upload. Click on Browse and choose an image file from your device that complies with the requirements:
For this tutorial, I have uploaded a small image of the word “Logo”. Once you have uploaded an image, it should be displayed here:
That’s all you need to do to create a new branding theme for your sales invoices. To see what your invoices will look like when they use your new theme, follow the steps below.
How to See Your Invoice Branding Theme
From the main menu, go to Business → Sales overview:
Now click on + New and choose Invoice from the drop-down menu to create a new invoice:
Click on the Branding drop-down menu and choose New Invoice Theme from the list of options:
Now click on the Preview button at the top-right of the screen:
Xero will now show you what your branded invoice looks like. You should be able to see the logo you uploaded as well as the text you added for the terms of the invoice:
