Xero Payroll Timesheets – How to Delete an Approved Timesheet

After a timesheet has been created in Xero payroll, you may want to delete it. In this tutorial, we will delete an approved timesheet in Xero’s demo company.

To get to the timesheets section of Xero, go to Payroll → Timesheets in the main menu:


How to Delete an Approved Timesheet in Xero

In Xero, you can only delete timesheets that have a status of draft or approved. You cannot delete timesheets that have been processed. As all of the timesheets in Xero’s demo company have been processed, we need to create an approved timesheet. To do this, follow the steps in our how to add a timesheet tutorial and approve it.

Once you have done this, you should see an approved timesheet for Lebron James in the main timesheets screen:


Click on the row of Lebron’s timesheet. You should now see the details of the approved timesheet. Click on the Revert to Draft button:


Once you have done this, you will be able to do any of the following to the timesheet:

  • Delete it.
  • Save it as a draft.
  • Approve it.
  • Cancel it.


Click on Delete Timesheet. A pop-up box will appear asking you if you are sure. If you are sure click on Yes. You should then be taken back to the main timesheets screen where you will no longer be able to see the timesheet that was deleted:
